How To Filter Email in Outlook Express

Just a little tip from TechTV Screen Savers for those wanting to have email from certain people delivered to specific folders.

Outlook Express calls mail filtering "Message Rules." You set a condition, an action, and a destination. Outlook then checks the server for incoming email and follows the rules you assign to each condition. Rules are easy to set up.

Go to Tools, Message Rules, Mail, and then choose "new."

In section number one, choose the conditions for the rule. For example, if you choose "Where the From Line Contains People," Outlook will select each email from a designated person or group.

In the second section, you assign Outlook an action. Check "Move it to the Specified Folder," and Outlook will automatically place all email from the chosen person in the designated folder.

The third section spells out each step of your rule. Any text that is underlined can have more detail and can be edited. Click on the text that says "contains people." A pop-up window appears. You can either type the email address in the top field, or click on the address book to select one or more addresses. Click "OK" when you have finished. You will see that the underlined text now contains the email address you specified.

Next click on the text "specified folder." A window will pop up that contains all your existing Outlook folders. You may either select a folder or create a new one.

Finally, give the rule a name so that you can manage it in the future. You will see your new rule with a check in front of it and a description of what the rule does at the bottom. Any time you wish to change the rule, just select it and choose "modify."

You can add all sorts of rules to Outlook Express, turning them on or off when you choose. If you have a slow connection, you might want to put size restrictions on your email so that large files are deleted or are not downloaded. You can also block certain addresses from sending you mail.

You can also use the "Block Senders List" which moves the emails directly into the trash when it's from someone on the list. You can use just the domain name too. This way it will filter out anyone from that domain.

Don't forget to select the Stop processing rules so that if the email qualifies under rule#1, it won't be subjected to filtering under rule#2 and rule #3.

e.g. if your email is abc@aol.com

rule 1 If From: contains john@hotmail.com Move to New Folder and Stop processing more rules.

rule 2 If From: contains joe@hotmail.com Move to New Folder and Stop processing more rules.

rule 3 If To: contains abc@aol.com Move to deleted Folder

The last rule acts as a sweeper, to move all the mail to the delete folder so that all the spam mail automatically gets tossed to the delete folder. In any event, you can review your deleted folder and add new rules to accommodate new contacts who inadvertently got tossed in the the deleted folder by rule #3.

Rule 1 and 2 could be merged by simply adding all your contacts:

rule 1 If From: contains john@hotmail.com or joe@hotmail.com Move to New Folder and Stop processing more rules.
